RUTLAND LODGES at GREETHAM VALLEY Booking Terms & Conditions Please read carefully and contact us if you require any clarification
Booking A Lodge booking enquiry may be made with us in either of the following ways: (i) Phone on (01780) 460444 (ii) Fax on (01780) 460623 (iii) Email to info@greethamvalley.co.uk (iv) Post an enquiry to Lodge Reservations, Greetham Valley Hotel, Golf & Conference Centre, Wood Lane, Greetham, Oakham, Rutland LE15 7SN. Bookings will be held provisionally for up to 14 days until receipt of the deposit and return of the booking form. To confirm your booking you must make all payments to us in accordance with clause 3 below. On receipt of your booking form and all appropriate deposit payments, we will issue you with a confirmation / invoice. This will show the balance to be paid and the date by which it is due. At this point your binding contract will come into existence. Please check this invoice carefully as soon as you receive it and contact us immediately if any information which appears on the confirmation or any other document appears to be incorrect or incomplete as it may not be possible to make changes later. The organiser/person making the booking must be over 18 years of age. Pricing Week Breaks may be taken Friday to Friday or Monday to Monday; Short Breaks may be taken Friday to Monday or Monday to Friday. We may be able to accommodate alternative arrival dates - please ask. Prices are per three bedroomed Lodge, accommodation only, based on up to a maximum of 6 occupants + 1 baby in cot per Lodge; highchairs and cots may be pre-booked and are complimentary but please bring your own cot linen. You may book meals and activities to be added to your break tariff or to pay on the day – as we are a very popular venue it is often best to pre-book tables and activities well in advance of arrival. We try to tailor a break to suit your exact requirements – please ask! We reserve the right to increase the price of any break advertised on our website or in our literature at any time before you book. Any price changes will be clearly advised to you at the time of booking. Any subsequent reduction in prices due to special offers advertised will not apply to confirmed bookings. Bed linen, towels, hot water, underfloor heating and electricity are all included. Payment A non refundable deposit of 25% of the full tariff must be paid at the time of booking. The balance must be paid one calendar month before the commencement of your break. Bookings made less than one calendar month before this date must be paid for in full at the time of booking. If the balance is not paid by the due date, we reserve the right to cancel your booking and retain your deposit. Please note – credit or debit card details will be required as guarantee on check–in. Methods of Payment We accept the following credit/debit cards: Amex, Visa, MasterCard, Switch, Delta and Connect. Cheques are also accepted made payable to ‘Greetham Valley’. Behaviour When you book with us, you accept responsibility for any damage or loss caused by you or any member of your party. Full payment for any such damage or loss must be paid direct at the time. We expect all clients to have consideration for other people. If in our reasonable opinion you or any member of your party behaves in such a way as to cause or be likely to cause danger, upset or distress to any third party or damage to property, we will terminate the break of the person(s) concerned. All fixtures, fittings and equipment must be used solely for their intended purpose. Guests must not take into the lodges any barbecues, lighting equipment or any items that may cause damage to the lodge, equipment or occupants. Lodges should be left in a clean and tidy condition. All Lodges are strictly NON SMOKING. Children are welcome but must be supervised at all times; please take extra care with young children due to the nearby unfenced ponds, lakes and stream. Greetham Valley accepts no responsibility for personal safety on site. No additional visitors other than those checked in on arrival may stay overnight without express permission from Greetham Valley. Sorry, pets are allowed in only one specific lodge; you must have permission from Greetham Valley to bring your pet and an additional deposit will be required, which will be refunded following an inspection by the Head Housekeeper. Golf Lodge guests receive complimentary Par 3 golf on our nine hole 'Academy' course and discounted greenfees on the ‘Lakes’ and ‘Valley’ championship courses. Tee times may be reserved at the time of booking the Lodge break to guarantee preferred times and courses or at any time prior to arrival or during your Lodge break, subject to availability. Whilst a golf handicap certificate of playing ability is not essential, it is expected that you are of this standard for play on the ‘Lakes’ and ‘Valley’ courses and that you display the appropriate etiquette and knowledge. We reserve the right to refuse access to the main courses if it is judged that you do not display the required knowledge and ability. Winter/Inclement Weather Policy As bad weather is inevitable during the course of the year (especially in the low season October – March) golf played on temporary greens and tees is considered to be an accepted part of playing winter golf and is non-refundable. Our policy is to have main greens and tees available whenever possible. If you are unable to play golf on your break due to course closure we will refund the green fee if this has been charged as part of your tariff. We will try to notify you prior to your arrival, without guarantee, if the course is closed. If the weather is inclement but the course is still deemed playable, as decided by the Head Greenkeeper or Proprietor, no refund will be given if you or any of your party choose not to play. Dress Code Appropriate dress should be worn at all times on the courses and within the Bar and Restaurants (as per the documentation included in your information pack). Minimum acceptable dress is “smart casual”. Cancellation/Amendments By You You may change numbers or cancel your break at any time provided that the person who originally booked the break gives notification to us in writing which we will then let you know if we are prepared to accept. In the event of a reduction in numbers or cancellation, prior to the full payment being made, we will retain 25% of the anticipated revenue ie we will retain the non-refundable deposit. Cancellations made one month or less before commencement of the break will result in 50% of the revenue being retained if we are unable to re-let the Lodge. If full payment has been made and we can successfully re-let the Lodge, a refund will be made less initial non-refundable deposit. In the event of any other amendments, you must pay in addition all costs incurred by us in making the amendment together with any costs or charges incurred or imposed by us. PLEASE NOTE: Our booking fee DOES NOT include holiday insurance. We therefore recommend that you take out Holiday Cancellation Insurance to cover you in the event that you have to cancel or terminate your holiday unexpectedly. Cancellations/Amendments By Us Occasionally, we have to make changes to and correct errors in our brochure and other details both before and after bookings have been confirmed and cancel confirmed bookings. Whilst we always endeavour to avoid changes and cancellations, we must reserve the right to do so. Most changes are minor. If we have to make a significant change or cancel we will pay you compensation if appropriate subject to the following exceptions: Compensation will not be payable and no liability can be accepted where we are forced to make a change or cancel as a result of unusual and unforeseeable circumstances beyond our control, the consequences of which we could not have avoided even with all due care. Greetham Valley regrets we cannot accept responsibility or pay any compensation where the performance or prompt performance of our contract with you is prevented or affected by reason of circumstances which amount to force majeure. Circumstances amounting to force majeure include any event which we could not even with all due care, foresee or avoid. Such circumstances include the destruction or damage of your lodge (which cannot reasonably be remedied to a satisfactory standard before the start of your holiday) through fire, flood explosion, storm or other weather damage (including a period of electricity failure), break-in, criminal damage or any similar event.
